Profiles

This is where you view and modify Profiles and how they are set up. You can see which Profiles you have as well as create, rename or remove Profiles from your account. For each Profile, you can change settings like which message to play, or how incoming and outgoing calls should be handled. Selecting Profiles opens up the list of your default Profiles. There are 10 default profiles you have when starting to use Telavox:

  • Available
  • Lunch
  • Meeting
  • Left for the day
  • Holiday
  • Sick leave
  • Out of office
  • Business trip
  • Home with sick child
  • Training

These are set up in a different way in the beginning, but you can modify these settings as well as create new profiles which suit yours and your company's needs. 

Note: All the default Profiles have a number assigned to them. Click the Display profile numbers link at the bottom of the Profiles list to display them. You need the Profile number, for example, if you want to create meetings in your calendar and have a specific Profile be automatically selected when the meeting starts.

To modify your profiles' settings or create new ones:

  1. Select Settings from the menu bar
  2. Click on the Profiles icon to display your list of active profiles
  3. If you want to modify an existing profile, click on an existing profile or if you want to create a new profile, click on Create new profile


If you want to remove a profile:

  1. Select Settings from the menu bar
  2. Click on the Profiles icon in the left panel
  3. Click on an existing profile
  4. Press the Remove button


Examples of profile functionalities

Name

The profile's name is shown for your colleagues when it is active, this means that your colleagues know for example when you are in a meeting, have holiday, or are sick.

Status

If the profile's status is set to Available, your colleagues can see your call status when this profile is active.🟢 = Free, not in a call
🟡 = Incoming/outgoing call ringing
🔴 = Busy in a call
⚪ = Call status not visible

If the profile's status has set to Not available, your colleagues cannot see your call status when this profile is active.

This setting does not affect your incoming or outgoing calls - it only determines how your call status is shown to your colleagues. 

Status message

A status message can be used to add extra information to a profile. For example the profile Meeting can have an extra message of Chat me if it is important.


If you add a status message directly in your profile settings, it means that the same status message will always be shown when this profile is activated. If you want to add a status message only for a specific time, you can do this by going to the profile quick change section and then write a text directly in the field there to add it on the profile you have active right now. If you change your profile, this status will be reset. The GIF below shows you how to do this.

Notifications

Choose which kinds of notifications you receive when you have different profiles active, you can even modify these settings by platform.

Caller ID

Choose which number you will show as your caller ID when the profile is active. For example, maybe you want to show your landline number as your caller ID when you are Available and mobile number when you have Left for the day.

Incoming calls

Set how incoming calls are handled when a profile is active. Standard profiles you have when starting to use Telavox, are already set with different ways. If someone calls you when you have the profile Meeting activated, the caller hears that you are in a meeting, as well as the end time for the profile (optional). You can always modify these settings so that for example calls to you go through even when you are in a meeting, or maybe so that only your mobile phone is ringing but not your Telavox softphone.

Call recording and co-listening

In case you have our additional service‍ Recorded calls or functionality co-listening which is a part of CC Pro, so you can choose during which profiles calls are recorded and when your colleagues can co-listen your calls.

Standard length

With this setting, you can select to have a standard length for your profile so you can activate the profile without having to set the ending time for it each time separately. You can still activate the profile with other duration than the standard length, this is done by clicking the clock icon next to a profile and then selecting a date and time for the profile to end, instead of just activating the profile with its standard length.
