How to set PBX opening hours

It is important to keep your PBX opening hours up to date so that your customers know when they can reach you. You can edit your PBX service's opening hours one at a time, or if you want - mass edit them all at once‍! But in this guide, we will walk you through how to edit one single PBX system's opening hours, so that it is open from 8.00 until 18.00, and it is closed on weekends.

Step-by-step guide

1. Go to the tab PBX services in the Admin portal
2. Select the PBX service you want to edit
3. Click on the clock icon

4. In the next window, a calendar opens. This is where you schedule your PBX system's opening hours. Good to remember that you can only set opening hours to future time, not past

5. Click on a time in the calendar, when you wish the PBX mode to be active. So in this case, we will want the PBX mode to start being active at 18.00, so we click on the time 18.00

6. Then a menu like below opens. Here you need to set the opening hours day by day. So in this case you want to select the PBX mode Closed, and so that the mode starts from the current day at 18.00, and is active until the following day at 8.00. This PBX mode is now scheduled to be on from 18.00 until 8.00. See the next step for additional settings.

7. If you tick the box Recurring, you can automatically set so that the PBX service's opening hours are set for each day and so that the PBX service is closed on weekends. Make sure to check that the PBX service Closed (or whichever PBX mode you are using for the same purpose), and that its start and end time are in order. Select Every week for the recurring setting, and also tick the box Every weekday. Alternatively you can also select an ending time for this recurring schedule. Once everything looks good, you click on Save

And there you go! Now you have scheduled your PBX system to be open 8-18 on weekdays and to be closed during the weekend, and the opening hours have been set to be active until they are changed again.

Different PBX modes and how to use them

Good to remember is that you can create as many PBX modes as you like. These are generally used for different purposes, such as holidays, or differing opening hours. Simply click on the + sign in the PBX service you want to create an additional PBX mode for, and give a name for the PBX mode. Select if it should be prioritised over other PBX modes and click on Create PBX mode. Once created, you can see it on your PBX system and also edit its priorisation setting.

Let us say that you would like to schedule a PBX mode to be active during the Christmas holidays, this is how you do it:

 

Please note that if you have several PBX modes scheduled at the same time with the same priority, the system will activate the first one in the alphabet, e.g. ‘Closed’ will be selected instead of ‘Holiday’ IF they have the same priority. We recommend using the normal priority for regular opening hours, and priority for special cases.
