Invoices - Admin portal (Direct customers)

New UI in the Admin portal - view invoices, upcoming invoices, and invoice places all in one place.

Users need the Invoices permission to access this tab. For more information on permissions, visit our FAQ article Permissions.

How to access Invoices in the Admin portal:

  1. Log in to the Admin portal.
  2. Click on Invoices.

Under Invoices you have the following options:

Invoices

Under Invoices you can see all the invoices you have received. In the main view you can see the following information for each invoice:

Status = The current status of the invoice
Sent = The date the invoice was sent
Due Date = The date payment should be made
Total = The total amount of the invoice
OCR Number = The invoice number (make sure to include this in your payment)
Invoice place = The department or place the invoice belongs to
Invoice = Click to download the invoice
Specification = Click to download the specifications in Excel or PDF

Tip: You can always search across all invoices - for example by invoice number or invoice date.

Invoice statuses explained:

🟢 ✅ Green flag with checkmark  = Paid
🟡 Yellow dot = Sent
🔴 Red dot = Late, or flagged for manually repaid or non-repaid credit notes
(-)  = Liquidated

To view the full specification of an invoice, click on it. You will see:

Total = The total amount of the invoice
Call period = The billing period. Please note this may be longer or shorter than a month, depending on when you started using your telephony
Sent = The date the invoice was created and sent
Due Date = The date payment should be made to Telavox
Status = The current status of the invoice

From here you can also download the invoice and specifications again.

Grouping options:

You can organise your invoice view by:

  • Group by Cost place - groups invoices by cost centre
  • Group by Account - groups invoices by account, showing call summaries per destination for each group
 
 

Upcoming invoices

Under Upcoming invoices, you can see all the upcoming invoices. 

In the main view you can see the following information for each invoice:

Status = The current status of the invoice
Sent = The date the invoice was sent
Specification = Click to download the specifications in Excel or PDF

Tip: You can always search across all invoices - for example by invoice number or invoice date. Once you download a file of your preferred invoice place, you get the current invoice draft from that moment. If more costs are generated after the previous file generation, you will need to re-download the file to see an updated invoice draft.

To view the full specification of an invoice, click on it. You will see:

From here you can also download the specifications again.

Invoice places

Under Invoice Places you can view all invoice places in your environment, edit existing ones, and create new ones.

To create a new invoice place:

  1. Click + New Invoice Place.
  2. Use an existing invoice place as a template or continue to create a new one.
  3. Select a Country.
  4. Choose which Company that should receive the invoice.
  5. Select the Address that should be connected to the invoice place.
  6. Add the Email address the invoice should be sent to.
  7. Select the Language for the invoice place.
  8. Choose Invoice typ (how you want to receive the invoices, what format).
  9. Add a Description/Title.
  10. Add the responsible Contact person.
  11. Click Add.

To edit an existing invoice place, simply click on it in the list and make your changes in the right-hand panel. When done, click Save.
