How to Manage PBX Services in Table View

Background

Managing your PBX, especially when you have multiple, can be complicated and time-consuming. With PBX Scheduling, you can mass edit (also known as "bulk editing") all services simultaneously in an easy-to-use table view.

How-to guide: 

  1. Navigate to the Admin portal
  2. Click on PBX Services in the left side panel. 
  3. To see all your PBX services, click on the symbol "Table view" in the top right corner next to the "Graphical view."


Click on the tabs below to learn more about the different settings you can adjust for your PBX services:

Name and number

  1. Here, you can see all your PBX services, such as Queueing systems, IVRs, your Fax and all Shared extensions. 
  2. You can change Name, add a Email and Keywords to the PBX service as well as Omnichannels
  3. If you mark one or multiple services, you can mass edit the feature Allow as display number and Hide from apps.

PBX Modes

  1. Under PBX Modes, you can change the PBX settings of the PBX mode, such as Calendar priority, Behaviour and which Sound should be played. You can also create a new PBX mode
  2. If you mark one or multiple services, you can mass edit the PBX mode's settings or create new modes.

Service specific settings

New Table View for PBX services settings

PBX services settings can now be managed in the Table view and all settings can be edited in the same way as in the main view (graphical view) and PBX services.

Things to Know

  • Not available for sub-admins at this time.
  • Massediting is not available in this release - a message will be displayed to inform Admins

Where to find it

  1. Navigate to PBXServices
  2. Click on TableView.
  3. And then ServiceSpecificSettings

IVRs

This is an example of how IVR settings appear in the new table view


To change settings in the IVR: 

  1. Click on a box in the three.
  2. Use the cogwheel or settings button to edit the output
  3. To add more touch tone options, click on a number in the Keypadmenu.
  4. Choose what should happen when a caller selects a touch tone option - for example, pressing 4.
  5. Youcanaddawelcomesoundtobeplayedbeforethecallerreachesthequeueforaspecifictouchtoneoption.Simplyhoveroverthelineconnectingthetouchtoneoptiontotheeventandclickthe+buttonthatappears.
  6. A new box will appear - click to select it and then click Settings.
  7. Choose the sound to be played before the caller reaches the queue for their selected touch tone option.

  8. You can select multiple sounds - simply click Add Sound.
  9. Can't find the right sound? You can always record new ones under Manage Sounds.

All settings can be edited in the same way as in the main view (graphical view) and PXS services.

Queueing systems

This is an example of how Queue settings appear in the new table view. All settings can be edited in the same way as in the main view (graphical view) and PXS services.

Shared extensions

This is an example of how Shared extensions settings appear in the new table view. All settings can be edited in the same way as in the main view (graphical view) and PXS services.

Fax-to-PDF

This is an example of how Fax-to-PDF settings appear in the new table view. All settings can be edited in the same way as in the main view (graphical view) and PXS services.

Scheduling

Under Scheduling, you can add a Custom events and Holidays to your PBX services. If you mark one or multiple services, you can mass edit the scheduling of the events.

Custom event

  1. Click on Add event.
  2. Choose the PBX mode in which you want to mass edit.
  3. Choose from what start and end date you wish this PBX should be activated.
  4. Under Recurring, choose whether the event should be a one-time event or repeat, for example, every second week. You can also choose an end date for the event under "Recurring until".

Holidays

  1. Click on Add event.
  2. Choose the PBX mode in which you want to mass edit.
  3. Choose the Country.
  4. Select one or multiple holidays in that country.
  5. Choose from what start and end date you wish this PBX should be activated.
  6. Under Recurring, choose whether the event should be a one-time event or recurring every year.

Call routing

To add Incoming and Outgoing call routings, follow the steps below:

  1. Log in to the Admin Portal.
  2. Navigate to PBX Services.
  3. Switch to Table View in the upper right corner.
  4. Click on Call Routing.
  5. Select the PBX service you would like to add restrictions to.
  6. Select either Incoming calls or Outgoing calls.

Incoming calls

Under Incoming calls you have three alternatives to choose from under both Number to Redirect and Routing To.

  1. Choose between All Calls, Unknown Number, or a specific Number.
  2. Select the routing that best fits your needs and follow the instructions.
  3. Add an exception if you want a specific number or country code to bypass the call routing you have set.
    What are exceptions?
    Exceptions are numbers that you do not want to be affected by your call routing rules. For example, if you have selected All Calls with routing set to Block Tone, you can add a specific number or country code that should still be able to come through.
  4. Choose which Profile (PBXMode) the call routing should apply to.
  5. Check the box if you want users without admin rights to be able to edit this setting.
  6. When done, click Confirm.

Outgoing calls

Under Outgoing calls you have some alternatives to choose from under both Number to block.

Greylisted destinations‍ will always be added to your PBX services automatically.

  1. Under Number to redirect choose between Mobile calls, All calls, All international calls, Premium calls and Number.

    What is International calls and Premium calls?

    International calls
    Calls dialed from your local phone to a foreign country code. These cost significantly more than standard local calls and are not included in most mobile plans unless you purchase a dedicated international package.

    Premium calls
    Calls to high-cost or special service numbers - such as voting lines, quizzes, horoscopes, adult chat lines, or tech support lines. Rates are very high and billed per minute or per call. These are never included in standard talk time bundles.

  2. Add an exception if you want a specific number or country code to bypass the call routing rule/block you have set.
    What are exceptions?
    Exceptions are numbers that you do not want to be affected by your call routing rules/blocks. For example, if you have selected All international calls you can add a specific number or country code that the PBX service should still be able to call.
  3. Choose which Profile (PBX Mode) the callrouting should apply to.
  4. Check the box if you want users without admin rights to be able to edit this setting.
  5. When done, click Confirm.

How do exceptions to blocked number ranges work?

A: When a prefix or range is blocked, you can add an exception - but only for a number that falls within that same blocked range.

Example: Block +4670* > you can add +46701234567 as an exception, since it starts with the blocked prefix. You can't add +46731234567 as an exception to that block, since it doesn't start with +4670 - the system rejects this with a NOT_A_SUBSET error.

Numbers can be entered in international format (+46...) or Swedish national format (starting with 0). Example: block 0900 (premium numbers) > add 090012345 as an exception to let that one number through while the rest of 0900 stays blocked.

Note: CALLERS_COUNTRY_CODE_VARIABLE is an internal placeholder value and is never shown or editable in the UI.
