User creation & Licenses managements
This guide will walk you through everything you need to know about managing users and licenses in the Admin portal, from creating a new user to assigning the right license.
All user creation and license management changes are done in the Admin portal.
Create a User
The first thing you need to do is create the user in the Admin portal. Without a user account, you won't be able to assign any licenses.
Working with many users? Instead of creating users one by one, you can upload them in bulk using an Excel file. See the FAQ article Configure users via external file.
To create a single user, follow these steps:
- Click New user, then select Create a user.
- Enter the user's First name, Surname and Email address.
- Optionally, check the box to send an onboarding email.
- Add a Department to help organize colleagues in the app and Admin portal.
- Click Confirm to complete user creation.
Once the user is created, you're ready to move on to assigning licenses.
Assign licenses to a Single user & Mass assign licenses
Now that the user exists in the system, it's time to assign them a license. A license determines what features and services the user will have access to.
The steps for assigning a license are largely the same whether you're doing it for one or multiple users. Choose the path below that matches your situation.
Assigning a License to a Single User
Use this path when you need to assign or update a license for one specific user.
- Select the user from the list in the Admin portal.
- In the left panel, click the relevant track, for example Voice.
- Choose a license type. If you're unsure which one to pick, click Show comparison to see a side-by-side breakdown of what each license includes (e.g., the Basic license is required if the user needs a fixed phone number).
- For example, if we choose the license Business Mobile, check the box and click Change license.

- Depending on the license you've selected, you may see a General Requirements pop-up window. This tells you what conditions need to be in place before the license can be activated:

Requirements are met: You'll be prompted to complete any necessary details, such as selecting a landline and mobile number for Business Mobile. Select the numbers and click Next.

Requirements are not met: If you choose, for example Mobile data > Unlimited 5G (without a Voice license for example Business Mobile) you'll see a conflicts note explaining what's missing.
For example, Unlimited 5G requires an active Voice license. You can still schedule the assignment, but it will not go through if the requirements aren't met by the chosen date.

Requirements are met: You'll be prompted to complete any necessary details, such as selecting a landline and mobile number for Business Mobile. Select the numbers and click Next.
- Under Assignment date, choose when the license should be activated:
- Assign now - the license is activated immediately.
- Custom date - schedule the license to activate on a specific future date.
- Click Confirm to complete the assignment and proceed.
Phone number conflict?
If you see an error saying the license requires a valid landline or mobile number, go to Contact details on the user's profile in the Admin portal to add the numbers.
If the number belongs to another operator, navigate to the Phone numbers tab to start the porting process.
DeleteMass assign Licenses to Multiple Users
Use this path when you need to assign licenses to multiple users at once, saving you time compared to doing it one by one.

Select the users from the list in the Admin portal.
Tip: Use ⌘ + click (Mac) or Ctrl + click (Windows) to select multiple individual users, or Shift + click to select a range of users. - In the left panel, click the relevant track, for example Voice.
- Choose a license type. If you're unsure which one to pick, click Show comparison to see a side-by-side breakdown of what each license includes (e.g., the Basic license is required if the user needs a fixed phone number).
- For example, if we choose the license Business Mobile, check the box and click Change license.

- Depending on the license you've selected, you may see a General Requirements pop-up window. This tells you what conditions need to be in place before the license can be activated:
- Requirements are met: No conflicts are found and you'll be prompted to complete the process.

Requirements are not met:
If you choose, for example the license Voice > Business Mobile, you'll see a conflicts note explaining what's missing.
If you choose, for example the license Business Mobile, the license requires active landline and mobile numbers.
And if you choose, for example the license Mobile Data > Unlimited 5G, you'll see a conflicts note explaining what's missing.
For example, if you choose Unlimited 5G, the license requires an active Voice license. You can still schedule the assignment, but it will not go through if the requirements aren't met by the chosen date.
- Under Assignment date, choose when the license should be activated:
- Assign now - the license is activated immediately.
- Custom date - schedule the license to activate on a specific future date.
- Click Confirm to complete the assignment and proceed.
Phone number conflict?
If you see an error saying the license requires a valid landline or mobile number, go to Contact details on the user's profile in the Admin portal to add the numbers.

If the number belongs to another operator, navigate to the Phone numbers tab to start the porting process.
DeleteScheduled assignments
When you select a Custom date, the changes will be reflected in the schedule displayed below.
To override all scheduled assignment dates on all of a user’s licenses, choose an assignment date at the top-level user schedule view.
Within the license's settings, you can:
- Edit schedule date on the license.
- Remove scheduled license assignment.
You can still schedule the new license, but the conflict(s) must be resolved before the scheduled change occurs for the assignment to be successful. Depending on your company's required capability, you may see conflict messages when scheduling and assigning licenses.
