User creation & Licenses managements

This guide will walk you through everything you need to know about managing users and licenses in the Admin portal, from creating a new user, by licenses to assigning the right license.

All user creation and license management changes are done in the Admin portal.

Create a User

The first thing you need to do is create the user in the Admin portal. Without a user account, you won't be able to assign any licenses.


Working with many users? Instead of creating users one by one, you can upload them in bulk using an Excel file. See the FAQ article Configure users via external file.


To create a single user, follow these steps:

  1. Click New user, then select Create a user.
  2. Enter the user's First name, Surname and Email address
  3. Optionally, check the box to send an onboarding email.
  4. Choose the Country and User Language
  5. Add a Department to help organize colleagues in the app and Admin portal.
  6. Click Confirm to complete the user creation.Once the user is created, you're ready to move on to assigning licenses.

Assign and Buy licenses on singel and mutiple users

Now that the user has been created in the system, it's time to assign them a license. A license determines what features and services the user will have access to.

Assign licenses 

The steps for assigning a license are largely the same whether you're doing it for one or multiple users. Choose the option that best fits your needs.

  1. Select user/users:
    1. Select singel user from the list in the Admin portal.
    2. Select multiple users from the list in the Admin portal.
  2. In the left panel, click the relevant track, for example Voice.
  3. Choose a license type. If you're unsure which one to pick, click Show comparison to see a side-by-side breakdown of what each license includes (e.g., the Basic license is required if the user needs a fixed phone number).
  4. For example, if we choose the license Business Mobile, check the box and click Change license.
  5. Depending on the license you've selected, a General Requirements pop-up window may appear. This outlines the conditions that need to be met before the license can be activated: 
  6. If requirements are met: you'll be prompted to complete any necessary details, such as selecting a landline and mobile number for BusinessMobile. Select the numbers and click Next. Click the BuyNumber tab below to read more about how to purchase or portnumbers.
  7. Requirements are not met: If you choose, for example Mobile data > Unlimited 5G (without a Voice license for example Business Mobile) you'll see a conflicts note explaining what's missing. 
    For example, Unlimited 5G requires an active Voice license. You can still schedule the assignment, but it will not go through if the requirements aren't met by the chosen date.
  8. After step 6 and 7, click next and under Assignment date, choose when the license should be activated:
    • Assign now - the license is activated immediately.
    • Custom date - schedule the license to activate on a specific future date.
  9. Click Confirm to complete the assignment and proceed.

Phone number conflict? 

If you see an error saying the license requires a valid landline or mobile number, go to Contact details on the user's profile in the Admin portal to add the numbers. 
If the number belongs to another operator, navigate to the Phone numbers tab to start the porting process

Buy licenses 

When assigning licenses to a user, you can buy licenses directly on the Licenses page if you don't have any available - no need to navigate back to the general Licenses page (where you can manage all your licenses).

Follow the steps below to assign licenses to one or multiple users and buy licenses directly in the user licenses page:

  1. Select the user from the list in the Admin portal.
  2. Mass edit by selecting multiple users. The process is the same as with a singel user.
  3. Then, in the left panel, click the relevant license, for example Voice.
  4. Choose a license type. If you're unsure which one to pick, click Show comparison to see a side-by-side breakdown of what each license includes (e.g., the Basic license is required if the user needs a fixed phone number).
  5. If you want to assign a license - for example the Basic license and none are currently available, click the shopping cart icon to purchase a new one.
  6. Check the license and click Continue.
  7. The license type will be added by default and cannot be changed. Only one license can be purchased at a time. Check the box next to the license and click Continue.
  8. Then, follow the step above according to Assignlicenses and selectingnumbers
  9. Under Assignment date, choose when the license should be activated:
    1. Assign now - the license is activated immediately.
    2. Custom date - schedule the license to activate on a specific future date.
  10. Click To order confirmation to complete the assignment and proceed.
  11. Review your order, then click "I approve the terms of purchase" and Confirm to finalize.
  12. You can also assign individual licenses here that are not included in your existing licenses. For example, if CC Pro is not included in any of your current licenses, it can be added as a standalone license. 
  13. Click the + icon next to CC Pro in the left panel.
  14. Then select a license type.

Buy numbers

When assigning a license that requires a landline number, or both a landline and mobile number, a pop-up window will appear. If you don't have any available numbers, you can acquire new ones or port existing numbers.

  1. To buy a new number from the numberpool, click Acquire new number and follow the instructions.
  2. To portanumber from another operator, click Port Number and follow the instructions.

Scheduled assignments

Custom date information

When you select a Custom date, the changes will be reflected in the schedule displayed below.

To override all scheduled assignment dates across a user's licenses, set a new activation date at the top-level user schedule view using Set Activation Date.

Within the license's settings, you can:


  1. Edit schedule date on the license.
  2. Remove scheduled license assignment.

You can still schedule the new license, but the conflict(s) must be resolved before the scheduled change occurs for the assignment to be successful. Depending on your company's required capability, you may see conflict messages when scheduling and assigning licenses.
