Create/upgrade users

In the Telavox Admin portal you are able to create and upgrade users, as well as create and upgrade multiple users at once to save some time.

To do this you will need to go through a few steps:

  1. Make sure you have available phone numbers, or then order new phone numbers or port in numbers
  2. Make sure you have available licenses, or order new licenses
  3. Create the user accounts
  4. Edit the users contact information & numbers
  5. Upgrade licenses

1. Make sure you have available phone numbers, or then order new phone numbers or port in numbers

First of all you need to make sure you have available phone numbers, or either order completely new phone numbers or port in your existing numbers from another operator before connecting these to the new users. If you go to Phone numbers > Current numbers, you can see your numbers and if some of them are available for use.

  • If you want to order new numbers we recommend that you check our FAQ article Order new numbers
  • If you need to port in existing Swedish numbers, you can do so yourself by following the FAQ article Porting Swedish numbers‍ 
  • If you need to port numbers for other countries than Sweden we recommend that you talk to our support‍ 

After this is done the numbers will be saved as reserved numbers in your Telavox environment.

2. Make sure you have available licenses, or order new licenses

The next step is to see if you have available licenses by going to Licenses > All licences. Here you can see all licenses  which are active and also licenses which are available for use. If you need to order the new licenses, you can do it like so:

  1. Click on Licenses
  2. Click on New licenses
  3. Choose a license type
  4. Choose the binding period and the amount of licenses you wish to order
  5. Confirm the order

3. Create the user account

The next step is to create the user account. To create an user account, you:

  1. Click on Users
  2. Click on New user
  3. Click on Create a user
  4. Fill in the user's first name, surname, and email address. You can also choose to send the user an onboarding email and add them to a specific department
  5. Click on Confirm

Create multiple users

You can also create multiple users in one go. Simply click on New user > Create multiple users and add the email addresses of all of the users you wish to add separated by commas like in the example below.

If you have a Microsoft Active Directory Sync that is active on your Telavox environment you will have an extra checkbox in this window which you can check if you would like the users contact information to be automatically retrieved from your AD. This will work as long as the email addresses in your Telavox environment and your AD matches. Click here for more info about Microsoft Active Directory Sync.

4. Edit the users contact information & numbers

The next step is to edit the contact information for the users. This includes the users name, phone numbers and other contact information. Simply go to Users > Contact details > select the user whose information you want to edit > do the changes in the right hand side newly popped up window.

If you want to edit multiple users at once the easiest way to do so is to configure users via an external Excel-file. You can read more about this in our guide Configure users via external file.

If you have a Microsoft Active Directory Sync that is active on your Telavox environment but you did not choose to activate it in the previous step you are also able to import the users contact information afterwards. To do this we recommend that you follow our guide Microsoft Active Directory Sync.


5. Upgrade licenses

The final step is to upgrade the licenses for the user. To do this you need to:

  1. Click on Users
  2. Click on License
  3. Select the user you wish to upgrade
  4. Select the license you want to upgrade to
  5. Select a number for the user
  6. Select the assignment date when the license should be activated
  7. Click on Confirm

You are now done! And if you followed the steps the users will be upgraded to the correct license types, with the correct contact information and the correct phone numbers, and the users are now free to start using their new accounts.
